1. User Agreement and Setup
To continue using Glacier, you must first read and accept the User Agreement. By accepting, you agree to enter only information that is relevant to you. Your profile may not be used to create tax forms for other individuals, including spouses and children. Information contained inside and forms produced by Glacier remain confidential, and are for the exclusive use of IREX and no other institution.
We strongly recommend that you also agree that IREX may provide your Form 1042-S via the Glacier Online Tax Compliance System. The electronic form will be available in PDF format to view and print in your profile immediately once available next spring. By not checking this box, you are requesting that a paper copy be sent to you via postal mail which risks being delayed by the postal service.
Accept the User Agreement by clicking I Accept.
Before clicking “Next” to complete your profile, make sure you have all of the various papers you will need to enter the correct information into your profile:
Your passport
• DS-2019 – form given to you by IREX via postal service or field office
• J-1 visa – added to your passport by the US Consulate in your home country
• I-94 – entry/exit card given to you by the US Immigration and Customs Enforcement at your point of entry into the United States
• If you have not yet received a Social Security Number (SSN) or Individual Taxpayer Identification Number (ITIN), you can still complete your Glacier profile.
When asked, “What Would You Like To Do Today?” select I would like to create/update/view my Individual Record from the list of available options and click the “Next” button.
2. Payments
When asked, “What is your relationship with IREX?” check only the box Student/Fellow/Grantee. Even if you take an internship or job with another institution while in the United States, your relationship with IREX remains the same.
When asked, “What type of payment(s) will you receive from IREX?” check only the box Scholarship or Fellowship (Non-Service), and click the “Next” button. All IREX fellows receive payments from IREX in one form or another.
3. Personal Information
Enter any personal information missing from your record, including your Middle Name. If you need to make changes in the spelling of your First or Last Names, please contact your program representative. These changes will need to be made on other IREX documents, as well.
Fellows with a US-issued SSN or ITIN should enter it into the box below Email Address. Fellows without a SSN or ITIN should indicate which they will apply for in the box to the right.
• Muskie and UGRAD fellows should select I have applied for an SSN, and I have not yet received the number.
• TEA, ILEP and UASP fellows should select I do NOT have a US-issued SSN or ITIN; I would like to apply for an ITIN.
Enter nothing for your Foreign Tax Identification Number. Please do not change the Program Name that has already been entered for you.
Based on which you apply for, you will be asked on the next screen to make the SSN or ITIN number known to IREX once you receive it. For those applying for a SSN, you must provide the number to IREX as soon as you receive it. For those applying for an ITIN, IREX will communicate this number to you once it is available. IREX assists all eligible fellows to apply for an ITIN, and facilitates the application on their behalf.
Enter the address at which you will reside temporarily in the United States either at your host university or other residence—not the IREX office in Washington, DC. Proceed to the next page to enter your permanent address in your home country.
Enter your country of citizenship (i.e. the country on whose passport you were issued a J-1 visa) and your country of tax residence. Your country of tax residence is the same as your country of citizenship, unless you have officially established tax residence elsewhere.
4. Immigration Status
Select IREX as your sponsoring institution, and enter your current immigration status. For all IREX fellows, this will be J-1 and the purpose of your visit (e.g. Student, Teacher, Short-Term Scholar). Please note that you must enter the purpose indicated in Section 4 of your Form DS-2019.
Enter your arrival, expiration and departure dates. Your original date of entry into the US is the date stamped on your I-94 entry/exit card. Your permission to stay in the US expires on the date indicated on your DS-2019. Your actual or estimated date of departure may depend on flight availability. If you are unsure of the exact date, use an estimated date. You can always return to your Glacier profile and update this information when you know your final departure date.
Your current immigration status is likely the same as the one under which you entered the United States on your current visit. If you believe your immigration status has changed since entering the United States on this visit, please contact taxes@irex.org [2] before continuing in Glacier. You will enter information on previously held immigration statuses and visits on the next screen.
Based on your entry date, you will see the number of days you have been present in the US under your current immigration status. If you left the US at any point during your current visit, indicate the number of days you were not present. If you did not leave, leave this box blank; do not enter the number 0.
Select whether this is your first time or if you have previously visited the US. If this is your first time, you may skip the next section and click “Next” at the bottom of the page. If you do have prior visits, please select the year and immigration status, and enter the number of days you were present for each year.
For example, a prior visit from August 8, 2003 to January 15, 2004 under a B-2 Tourist visa would be entered as:
• 2004 B-2 Tourist 15 days
• 2003 B-2 Tourist 146 days
A summary of your visit history will be created and used to determine whether you are a resident or nonresident alien for tax purposes. If you are determined to be a resident alien and are, thus, unable to continue using Glacier, please contact taxes@irex.org [3]. Otherwise, continue using Glacier to print your tax forms [4].
